If a student can't move into a family
An adult learner moves into a family once their past sessions are invoiced or waived and no draft invoice is waiting for them.
For tutors. Updated October 2026.
Where to find it
Students, the student, then Details
Steps
On the student's Details, press Move to a family….
If something has to happen first, a line says what, and Move to family can't be pressed yet.
Mark each past session that still reads Scheduled: choose Completed and save, or press Mark no-show or Cancel session.
A past session you cancel offers Cancel without charge.
Press Invoice now on the student's page and invoice what you want to charge.
Optional: For a late cancellation or no-show you won't charge, open it and press Waive fee instead.
Optional: If a draft invoice is named, open it and press Save to issue it, or Cancel invoice.
Press Move to a family… again, choose the family and press Move to family.
Upcoming sessions and the weekly schedule move to the family. Past invoices stay with the student.
Good to know
- Past sessions stay billed to the student, so they have to be invoiced first: once the student is in a family, nothing could invoice them.
- After the move, the student's page links to Earlier invoices, billed directly. Those don't count on the family's page.
- Making a family's student independent has no such wait. It asks for the student's own phone if they don't have one yet.
- A session added by mistake can go instead: open it and press Delete session.
If something's not right
It says the student has past sessions to invoice, including any not marked yet.
Some past sessions are still Scheduled or marked but not on an invoice. Mark, invoice or waive each one, as in the steps above.
It says the student has a draft invoice.
Open the draft from the line, then issue it with Save or cancel it. A draft left behind would have no one to bill.
The family isn't in the list.
Only active families are listed. Open the family, press Edit, then Reactivate family.
