If you can't change a session

A session on an invoice keeps its date, length, status and total until you cancel that invoice, though its subject and notes can still change.

Where to find it

Calendar, then the session

A session opened from Today or from a family's page is the same panel.

Steps

  1. Open the session and read the line under Total.

    It names the invoice the session is on. Its date, time, length and status can't change, and there's no Cancel session or Delete session.

  2. Press the invoice number in that line.

    The invoice opens.

  3. Press Cancel invoice.

    Cancel this invoice? opens. If a payment is on it, choose whether to keep it or delete it too.

  4. Press Cancel invoice again to confirm.

    This session and the invoice's other sessions are free to change again.

  5. Open the session, make your change and press Save changes.

  6. Back on the cancelled invoice, press Invoice these sessions again, tick the sessions and save.

    The new invoice gets a new number.

Good to know

  • Subject and the notes can still be changed on a session that's on an invoice. They don't change what's charged.
  • A draft holds its sessions the same way. Cancelling a draft frees them, and the family never saw it.
  • Cancelling an issued invoice takes it out of their portal and sends nothing. Its number is never used again.
  • A payment you keep goes to their other invoices first. Whatever is left over counts as paid ahead and goes toward the new invoice.
  • To change only a draft's discount or how its sessions are listed, there's no need to cancel it: a draft can still change those.

If something's not right

"This session is on an invoice. Cancel the invoice first."

It was put on an invoice while its panel was open, maybe on another device. Close the panel and follow the steps above.

"Already on INV-2026-0003. Record the payment there."

Completed & paid can't be used on a session that's already invoiced. Open that invoice and press Record payment instead.

A late cancellation or a no-show has no Reopen.

It's on an invoice. Cancel the invoice first, then reopen the session.
